Job Summary:
The Supplies Custodian is responsible for the proper inventory, storage, issuance, and management of supplies and materials used in the dealership’s daily operations. This role requires an organized, detail-oriented individual who can effectively manage multiple tasks while ensuring the timely availability of supplies to different departments.
Key Responsibilities:
- Maintain accurate records of all supplies and materials in stock.
- Conduct regular inventory checks to monitor stock levels and ensure accuracy.
- Identify and address discrepancies in stock levels, reporting any issues to management.
- Ensure all supplies and materials are properly stored and labeled for easy identification and access.
- Organize storage areas to optimize space and maintain cleanliness.
- Follow safety and security protocols in the storage and handling of supplies.
- Respond to supply requests from various departments promptly and efficiently.
- Monitor and record the issuance of supplies to ensure accountability and track usage.
- Ensure that all issued items are documented accurately in inventory records.
- Coordinate with the purchasing department to replenish stock as needed.
- Provide insights on supply usage trends to help with procurement planning.
- Assist in preparing purchase orders for supplies and materials.
- Maintain detailed and accurate records of all supplies, including receipts, issuances, and discrepancies.
- Prepare and submit regular inventory reports to management.
- Ensure compliance with company policies regarding supply management and reporting.
- Collaborate with different departments to identify supply needs and address them effectively.
- Ensure timely communication with team members regarding supply availability and requests.
- Manage multiple tasks efficiently while meeting deadlines.
- Ensure that supplies are readily available to support the smooth operation of the dealership.
QUALIFICATIONS:
- Must possess at least a Bachelor’s Degree in any field.
- Knowledgeable in Microsoft Office applications, particularly Excel.
- Detail-oriented and able to identify and resolve discrepancies.
- Capable of working under pressure and with minimal supervision.
- Willing to work overtime when required.
- Proficient in multi-tasking and time management to handle multiple responsibilities effectively.
